  • Logbook content: photographs of pilot logbook pages that you upload for processing
  • Payment information: processed by our payment provider and not stored on our servers
  • Communications: messages you send to us through the contact form or support channels

Information collected automatically:

  • Usage data: pages visited, features used, and actions taken within the Service
  • Device information: browser type, operating system, and device type
  • Log data: IP address, access times, and referring URLs

3. How We Use Your Information

We use your information to:

  • Provide and operate the Service, including processing your logbook photos and extracting entry data
  • Process payments and send transaction confirmations
  • Communicate with you about your account, respond to support requests, and send service-related notices

  • We do not use your logbook photos or extracted data to train machine learning models

  • We do not access your logbook content except as necessary to provide the Service (e.g., AI processing, human-verified conversion, or customer support)

5. Data Sharing

We share your information only in these limited circumstances:

Service providers: We use third-party services to help operate HobbsTime, including cloud infrastructure for hosting and data storage, AI processing services for data extraction, payment processing, and email delivery. These providers access your data only as needed to perform their services and are bound by their own privacy policies and data protection obligations.

Human-verified conversion: If you choose the Human-Verified conversion tier, a vetted conversion specialist will view your logbook photos to manually extract entry data. Specialists access only the conversion assigned to them and are bound by confidentiality requirements.

Legal requirements: We may disclose your information if required by law, legal process, or government request, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

6. Data Storage and Security

Your data is stored using cloud infrastructure with encryption at rest and in transit. We implement industry-standard security measures including access controls, monitoring, and regular security reviews.

While we take reasonable steps to protect your data, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security.

7. Data Retention

We retain your account information and logbook data for as long as your account is active. If you delete your account, we will delete your personal information and logbook data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., financial records for tax compliance).

Payment transaction records are retained as required by applicable financial regulations.

8. Your Rights and Choices

You have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate personal information
  • Delete your account and associated data
  • Export your extracted logbook data via CSV download
  • Opt out of non-essential communications

11. California Residents
